Anywhere you see an **Export as CSV** button, the dropdown beside it offers the other formats. Files are produced in your browser, so there is no job to wait for and no email to watch for.

## Formats

| Format | Extension | Use it for |
| --------- | --------- | -------------------------------------------------------- |
| **CSV** | `.csv` | Spreadsheets, imports into other systems. The default. |
| **Excel** | `.xlsx` | Opening directly in Excel with the columns already typed |
| **PDF** | `.pdf` | Circulating a fixed list for review or sign-off |
| **HTML** | `.html` | Sharing a readable page without a spreadsheet |

**PDF is offered up to 2,000 rows.** Above that it becomes unreadable, so the option is disabled and tells you the limit. Use CSV or Excel instead.

## What each export contains

### Every student, summarised

**Audience, then Export.** One row per student, up to 20,000 students.

| Column | |
| ------------------------- | ------------------------------------------------- |
| Name, Email | |
| Membership status | Active, deactivated or archived |
| Invite status | Active, pending, expired or revoked |
| Enrollment | Courses completed out of courses enrolled |
| Completed | Courses finished |
| Progress | Percentage across everything they are enrolled in |
| Last login, Last activity | |
| Date joined | |

This is the one to start from. It is the only export carrying progress for everyone in a single file, and the only one that follows the [Audience filters](/reference/audience#filters), so filtering to your dormant students and exporting gives you exactly that list.

Tick rows before exporting and you get only those. With nothing ticked you get everything matching the filters.

### One student, course by course

**Audience, then a student's name, then Export.** One row per course that student is enrolled in.

Columns: Course, Lessons completed, Lessons, Exercises completed, Exercises, Progress, Average grade.

Use it to see _which_ course someone stalled in.

### One course, all its students

**A course, then Analytics, then Export.** One row per student in that course.

Columns: Name, Email, Lessons completed, Lessons, Exercises submitted, Exercises, Progress, Average grade, Last seen.

Use it to see _who_ is stalling in a course. The table on screen is paginated, but the export covers every student in the course.

### Grades and compliance

- **A course, then Marks, then Export**: name, email, one column per exercise, and the average grade.
- **Compliance, then Export**: one row per student-course obligation, with status, due date and valid-until date. It exports the Students tab whichever tab you are viewing.

## How progress is calculated

Progress counts **lessons and exercises together**: everything completed, divided by everything there is to complete. It matches the figure the student sees on their own course card.

A student who has watched every lesson but submitted no exercises is **not** counted as complete.

## Limits

| | |
| ---------------------- | --------------- |
| Audience export | 20,000 students |
| PDF | 2,000 rows |
| The other four exports | No row limit |

The 20,000 cap applies to the audience data before a format is chosen, so it holds for CSV, Excel and HTML too, not only PDF.

:::note[No single all-students, all-courses file]
There is no one export combining every student with every course, row by row. For that level of detail across the whole academy, export one course at a time.
